Business Operations Lead/Special Assistant to the Dean
(Administrative Analyst/Specialist - Exempt II)

Compensation and Benefits

Anticipated Hiring Salary Range: $5,022 - $5,833 per month

Full CSU Classification Salary Range: $5,022 - $9,083 per month

  • This is a full-time, probationary, exempt position.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Job Summary

Under the direction of the Dean, the position serves as the Business Operations Lead of the Office of the Dean and supports the mission of the College and University by providing day-to-day business administration, overseeing administrative, academic, accounting, and human resources functions of the College, and assuring processes are completed in a timely and efficient manner. This position provides executive level support to the Dean and serves as a liaison for faculty, staff, students, University administration and the general public. A high degree of autonomy is afforded the position, requiring excellent judgment, discretion, and confidentiality.

 

Key Qualifications

  • General knowledge of public and personnel principles, practices, and methods.
  • Demonstrated knowledge and skill in office operational methods, principles, and practices.
  • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and fiscal management.
  • Thorough knowledge of English grammar, punctuation and spelling and be able to clearly communicate orally and in writing.
  • Thorough knowledge of office equipment and systems with the ability to use a broad range of technology systems and software applications (e.g. Microsoft Office Suite, Google apps, internet and email).• Exceptional organization and time management skills with attention to detail and data accuracy.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
  • Demonstrated ability to use considerable judgment and discretion.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Highly developed interpersonal skills and professional attitude to work collaboratively and effectively with a diverse faculty, staff and student population.
  • Excellent written and verbal communication skills working with audiences throughout various levels of an organization from individual contributors to executive leadership.
  • Excellent interpersonal skills with ability to promote a positive, service oriented collegial work environment; establish and maintain effective working relationships with a variety of individuals.
  • Proven ability in prioritizing and organizing tasks and projects, including completing multiple priorities within deadlines.
  • Demonstrated ability to deal appropriately with confidential information and exercise good judgment on sensitive matters.
  • Ability to create, analyze and evaluate program information and provide data for review in developing and implementing strategies and activities to meeting programmatic goals and enhancing processes.
  • Interpret and apply a wide variety of complex policies and procedures independently and use judgement and discretion to act when precedents or specific guidelines may not exist.
  • Communicate clearly and concisely, both orally and in writing, and prepare detailed written reports and correspondence.

Education and Experience

  • Equivalent to a Bachelor's degree.
  • Three years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
    • Preferred Skills:
      • Agricultural background.
      • Experience with grants, contracts, sponsored programs.
      • State budget experience (Phase I and Phase II).
      • Experience with faculty retention, tenure and promotion process (RTP).
