(Administrative Analyst/Specialist - Exempt I)

Compensation and Benefits

Anticipated Hiring Salary Range: $4,170 - $4,583 per month

Full CSU Classification Salary Range: $4,170 - $7,545 per month

  • This is a full-time, probationary, exempt position.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Job Summary

The Executive Assistant to the Associate Vice President for Development (Administrative Analyst/Specialist) performs a wide range of varied projects that require well-developed writing, planning, data analytics, and organizational skills as they pertain to all aspects of fundraising and constituent relations.  This position reports to the Associate Vice President for Development and also interacts with a wide range of university management, staff, faculty, student, campus volunteers, donors, and community leaders.  Work requires office management skills that often involve contact with a variety of campus and community individuals requiring analytical and problem solving and effective interpersonal skills.  May provide lead work direction to part-time student assistant(s) and/or office receptionist/administrative assistant.

 

Key Qualifications

  • Knowledge of the methods and procedures for providing or performing a variety of administrative functions and services in support of the projects and activities of the office.
  • Knowledge and skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions.
  • Knowledge of, and the ability to utilize office technologies including Microsoft Office Suite, Google applications, and database software.
  • Knowledge of and experience working with a fundraising, development, or advancement program.
  • General knowledge or experience with fundraising campaigns.
  • Possess comprehensive knowledge of methods and procedures for research and statistical analysis and the ability to apply them.
  • Possess excellent interpersonal, oral, and written communication skills.
  • Demonstrate diplomacy in handling highly confidential or sensitive documents, correspondence, and projects.
  • Possess excellent organizational skills.
  • Requires the use of independent judgment to make decisions.
  • Demonstrated ability to analyze data and make accurate projections using business mathematics and statistical techniques.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the unit.
  • Interpersonal and communication skills, including ability to work effectively with people of diverse backgrounds and ability to collaborate across organizational lines.
  • Troubleshoot office administration problems and respond to all inquiries and requests related to the work area.
  • Create, analyze, and evaluate program information and provide data for review in developing and implementing strategies to enhance processes and meet programmatic goals.
  • Ability to:
    • Apply fundamental concepts and administer appropriate budget policies and procedures.
    • Prepare budgets.
    • Follow standard office procedures and practices.
    • Determine appropriate solutions to a wide range of duties related to the day-to-day operations of the work unit.
    • Provide lead work direction to office staff.
    • Effectively learn, interpret, and apply a wide variety of policies and procedures relating to office operations and impacting program area.
    • Independently prioritize and accomplish multiple work unit priorities and projects of a complex nature.
    • Effectively compile, organize, and present reports and ideas in written and/or presentation form.

Education and Experience

  • A bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Three years of directly related administrative experience. 
    • Preferred Skills:
      • College degree in an applicable field.
      • Experience working with fundraising databases such as Ellucian Advance, Sales Force, Raiser’s Edge, etc. Advanced knowledge of Microsoft Suite and Google Drive.
